This role is a 12-month fixed term position covering a period of maternity leave, with the potential to extend for a further 3 months. The successful candidate will report directly to the Master of Gonville & Caius College in the University of Cambridge, to whom you will provide comprehensive and professional secretarial assistance. Regular duties will include diary management, general administration, reception of guests and visitors, and drafting of correspondence and papers. You will liaise on behalf of the Master with contacts both internally and externally to the College, and across the wider Collegiate University, working closely with the Development Office and President over events and invitations.
This is a critical role in support of the Master who chairs the College Council and the General Meeting of Fellows. The Master provides leadership and guidance in promoting scholarship and academic excellence, maintaining and improving academic facilities, and planning future developments necessary for the effective operation of the College. The Master also holds a number of external roles for which the Master’s PA provides administrative support, as well as constituting a focal point for the College’s relationship with its Members: Fellows, students, staff and alumni. You will also coordinate any hosting and travel arrangements in respect of the Master’s many varied engagements. Additionally, this role comes with the line management responsibility of the Master’s Office Administrative Assistant who works part-time during term time to assist in supporting a busy office.
The role-holder also acts as assistant to the Registrary who has a key role in drafting, disseminating and recording the agenda and decisions of the College Council, and General Meeting of Fellows. You will support the Master and the Registrary in compiling the agenda for College Council and the General Meeting of Fellows, and support the Registrary in taking the minutes of those meetings and communicating the outcomes of the meetings, recording and publicising the details of these to the Fellowship.
Due to the varied duties of the post, there is considerable scope for the postholder to take initiative. You will need to maintain an efficient, smoothly run office, capably managing the varied and demanding workload with a smile. You will have excellent communication and interpersonal skills, with the ability to engage effectively with a diverse range of stakeholders. You must be able to demonstrate a sound understanding of data protection requirements, competence with technology, and discretion in relation to areas requiring confidentiality.

The hours of work are Monday to Friday, 37.5 per week, some flexibility to accommodate committee meetings will be required.
The annual salary is £37,000-£40,555.
