ANNUAL GENERAL MEETING (AGM)
Our AGM will take place this coming Wednesday 13th August/Today in room 303-G02 (38 PRINCES ST - PLT2 Lecture Theatre) at 6pm. This is a vital meeting for all current and new members of the club, as the AGM is where we take payment from new members or members renewing their memberships ($5 cash. If you paid last semester you do not have to pay again. this is an annual membership. we will confirm your existing paid membership when you give your name at the door).
For people new to the club or renewing membership, the best way to make sure your enrollment goes smoothly and quickly at the door is to pre-fill your information for us (so that all we're doing is looking up your details and accepting payment!) through this google form--https://forms.gle/a3HipJDqa6umFDYr6. Please fill this out before Wednesday 12pm if you are a new member or renewing a membership. As people may remember from last semester, having this info ahead of time and not asking people to write it out by hand at the door is much faster and guarantees the accuracy of your information. Due to recent problems on our Discord with trollers, we will also be looking in the future to regulate paid member vs nonpaid member permissions... and so making sure we have your info with your discord recorded--which is best accomplished through the form--is important.
At the AGM, we will also be voting on proposed changes to our Code of Conduct (again concerning Discord), and will be holding elections for committee roles. Several existing committee members do not intend to stand for reelection, so if you're looking to get involved in the committee and have your voice heard, now is the time. 🙂
Finally, the AGM is where new campaigns have their opportunity to advertise for members! If you're looking to join a campaign, attending the AGM is crucial. Almost all campaigns fill up at the AGM, and as things are first-come, first-serve, we cannot guarantee you will find a spot in a campaign if you do not attend the AGM.
() ROOM AVAILABILITY
With the news that everyone's been awaiting... we are pleased to confirm we have managed to secure some rooms for this semester! The issues with student groups and the new booking system have meant our room arrangements are imperfect--but functional, for now. As it stands, we will have three rooms on Tuesdays (one for Boardgames, two for campaigns), five rooms on Wednesdays for campaigns, and two rooms every other Thursday (one for Wargaming, one for campaigns). Please note the change that Thursdays will be bi-weekly this semester. Issues arose in getting weekly bookings and we took what we got. Myself and - Wargames Officer will endeavor to clearly remind everyone each week when Wargames is "on" or "off."
These limited bookings also mean that every campaign can expect that they will have to double up and share a room. This will, again, be for every campaign. Depending on the number of campaigns running, some campaigns may also have to triple up in the largest rooms. GMs, please keep this in mind when requesting rooms--GMs with the greatest flexibility are those most likely to get better spaces!
We have these bookings for the next 9 weeks. When we approach the end of this period, we will evaluate our capacity to get bookings during the summer season.

For GMs looking to secure a room for a new or ongoing campaign, please see the below Google forms. Please fill out the appropriate form by Wednesday midday. While I appreciate this is shorter notice than usual, given our issues with rooms, filling out these forms remains the best way to guarantee your campaign will have a room.
