We say goodbye to a former SAFE Commissioner and a wonderful friend, Ms. Avocate Awis, whose warmth, laughter, and unshakable companionship have brightened the chapters of our lives. A deep sadness lingers in the silent corners of our hearts. We are unable to understand the emptiness that someone's departure has left behind as we struggle with the weight of loss.

We prefer to remember you with the fondness that comes with remembering wonderful times spent together, rather than with tears of grief, even though your absence has left a shadow on the map of our lives. Every win, every hug, and even the difficulties we overcame as a team bears witness to the strength of the relationship we were privileged to have with you.

Good day!

The Students' Auditors for Financial Efficacy (SAFE) Commission will be conducting the UNIVERSITY-WIDE AUDIT OF FINANCIAL STATEMENTS FOR 1st SEMESTER AND INTRAMURALS FINANCIAL STATEMENTS FOR AY 2022-2023.

In this regard, all mandated and accredited organizations, as well as, student publications are required to submit your financial statements and other documents for audit on or before March 24, 2023, 5:00 PM. Kindly visit the SAFE Office at the Student Center Building, 4th floor for compliance and inquiries.

Audit requirements as per SASSO are as follows:
✔3 Copies Financial Statements
✔Original Transaction Documents (Receipts/ Invoices, cut off date January 20, 2023)
✔Cash Vouchers
✔Accomplished Journal
✔Approved Operational Plans (can be photocopied)
✔List of Properties (original)
✔List of Pending OPs
✔Roster of Members (Masterllist)
✔Passbook/Bankbook (for orgs with bank accounts)
✔Copy of the Constitution and by-laws

SUBMISSION OF FINANCIAL STATEMENTS AY 2020-2021

Good day! In connection with the AY 2020-2021 and Transitional Period Financial Statements, please do take note of the following cut-off dates:

1st Semester FS – February 19, 2021
2nd Semester FS – July 9, 2021
Transitional FS – August 27, 2021

For convenience purposes, the Commissioners of SAFE have agreed to accept scanned documents for audit. However, for organizations with transactions, a hard copy must still be submitted at SGOA, to either Ma’am Nalyn or Sir Lopez.

Audit requirements as per SASSO are as follows:
✔3 Copies Financial Statements
✔Original Transaction Documents (Receipts/ Invoices, cut off date June 15, 2020)
✔Cash Vouchers
✔Accomplished Journal
✔Approved Operational Plans (can be photocopied)
✔Roster of Members (Masterlist)
✔Passbook/Bankbook (for orgs with bank accounts)

For Organizations with NO TRANSACTIONS:
1. Scan your audit requirements indicating no transactions (collections or receipts) in FS, duly signed by your organization adviser. (e-signatures are accepted)
2. Indicate in the body of your mail the current contact number of your adviser. Kindly inform them about this request for confirmation purposes.
3. Name your files OrgName_2X-2X (or other appropriate AY) and send your files to [email protected].

For Organizations with TRANSACTIONS:
1. Scan your audit requirements indicating your transactions (collections and receipts) in FS, duly signed by your organization adviser. (e-signatures are accepted)
2. Indicate in the body of your mail the current contact number of your adviser. Kindly inform them about this request for confirmation purposes.
3. Name your files OrgName_2X-2X (or other appropriate AY) and send your files to [email protected].
4. Submit a copy of your audit requiremnts to SGOA, either to Ma’am Nalyn or Sir Lopez. FS submitted along with other audit requirements will be retrieved by SAFE Commissioners for record purposes.

Certification of Clearance and Fund Balances will be sent to your respective email addresses. For organizations with no transactions, 1-2 working days. For organizations with transactions, depends on the audit issues identified and their further resolution.

Turnover Forms (For Organization Officers and Advisers) shall also be accomplished to document turnover of funds and other accountable from previous officers to incumbent officers and organization advisers. Kindly send your auditors an accomplished copy for such turnover to be acknowledged. Attached are the links to the files in the comment section.

> For organizations with no financial transactions, you may submit your Financial Statements with a note on the body stating “No Financial Transactions for the Period” on SGOA or by scanning and e-mailing it to your respective auditors.

Greetings!

Due to the crisis arising from the CoViD-19 pandemic, we have experienced difficulties in terms of our academics and extracurricular activities. We, the SAFE Commission admit to our own shortcomings and lackings in devising a concrete plan in upholding our duties and responsibilities. We humbly apologize for the inconvenience we may have brought.

Nevertheless, organization officers of mandated, accredited and student publications can submit their audit requirements for the 2nd Semester AY 2019-2020 on September 18, 2020, 9:30 AM ground floor of the Student Center.

As control, we shall STRICTLY follow safety protocols and guidelines; officers should wear facemasks/ face shields, use their own pens, and observe social distancing. Further, the SAFE Commission WILL ALLOW ONLY ONE (1) representative per organization to submit their requirements/ have their clearances signed to minimize unnecessary contact.

Audit requirements as per SASSO are as follows:
✔3 Copies Financial Statements
✔Original Transaction Documents (Receipts/ Invoices, cut off date June 15, 2020)
✔Cash Vouchers
✔Accomplished Journal
✔Approved Operational Plans (can be photocopied)
✔Roster of Members (Masterlist)

Kindly compile them in an envelope/ expanded envelope labelled with your organization's name and contact number of the representative. The SAFE Commission encourages organizations to submit their COMPLETE requirements to avoid audit delay (especially for orgs with graduating students). Upon submission, the commissioners will do their best to fast track the audit of these documents.

As for clearances (especially graduates), signatories will be done once the org is clear from accountabilities (priority audit). Certifications will be sent online to your representative's email accounts (transmittal will be forwarded to SGOA).

Good day!

Clearance for student formations and organizations in the SAFE Commission for the AY 2019-2020 will be continued upon opening of classes (September 07, 2020).

Organizations who are not yet cleared for the 1st Sem of AY 2019-2020 are requested to submit their audit requirements; 3 copies FS, OP's, roster of members and transaction documents and accountable forms (cut-off December 13, 2019).

As for the 2nd Sem of AY 2019-2020, organizations are requested to submit their audit requirements, cut-off on June 15, 2020. Due to the implementation of blended learning, cut-off will be upon the end of the semester June 15, 2020 as there are student orgs with approved activities during this period of ECQ. Regardless, consideration will be given, provided the honest justification and documentation of said transactions.

Edit: Organizations can submit their requirements starting Sept 7. No definite deadline as for now but orgs are encouraged to submit theirs as early as they can. We'll do our best to fast track the audit of these documents.

Good day! Just a quick reminder. The deadline of the submission of Financial Statements for the First Semester as per Memo is on December 13, 2019. Since there will be no office tomorrow (UNP Family Day), SAFE Commissioners might not be around. But you can still submit your FS until next week (December 21) since the SAFE Commissioners will still be around that period.

Kindly contact your designated auditors for inquiries. We deeply apologize for the inconveniences.
