The refund for the Batch 2019 and Batch 2020 Yearbook is now available.
For the 2019 graduates, there was no soft copy left to the office. A consistent follow up to the suppliers was made, but only a few files were recovered. The Office had started reaching out to various Colleges to assist in collecting and submitting the formal graduation photos of the graduates, which are essential for the creation of the yearbook. Unfortunately, the progress has been limited. Out of 1,314 graduates in 2019, only 734 (56%) of the required photos have been recovered, and of the 1,049 graduates who paid, 519 (40%) have no available photos.
For 2020, that was during the pandemic. Payments were collected, but no pictorial provided by the university actually took place. Students are advised to have graduation pictorial from outside suppliers. The students were asked to submit their photos individually to the department. Letters were sent to the departments and to the VCAA requesting help in reaching out to the students to submit their photos, but we were not able to gather enough. Only 30% of the graduates have submitted photos, and many of these submissions are pixelated, as they were sent through Messenger. Also, upon checking with Accounting Office, even the payments did not reach 70% for the graduation pictorial.
Given this information, coupled with frequent inquiries from the graduates, the Office believe that it is no longer feasible, and indeed impossible, to proceed with the procurement of the yearbooks for these batches due to the lack of both photos and the required payments.
All concerned students are advised to follow the guidelines below:
1. Photocopy your BSU ID on long bond paper. If your ID is no longer available, you may print a copy from the BSU portal.
2. Before proceeding to the Cashierโs Office, ensure that you have obtained your reference number from the provided link.

3. Kindly proceed to the Cashierโs Office and present the following:
โข Printed copy of your BSU ID
4. If the student is unable to claim the refund personally, an authorized representative may do so on their behalf, subject to the following requirements:
โข A signed authorization letter
โข A valid ID of the representative
FURTHER CLARIFICATIONS
If you are unable to personally claim the refund, an authorized representative may process it on your behalf and for proper guidance, please be informed of the following requirements:
A. For those who are currently abroad, please prepare and submit the following:
-A duly signed authorization letter (with electronic signature)
-A photocopy of a valid ID serving as proof of residence abroad, with an electronic signature
-A copy of any valid ID of the authorized representative, clearly showing their full name and wet signature
B. For those within the Philippines but residing in distant locations:
-A duly signed authorization letter (with electronic signature)
-A photocopy of a valid ID serving as proof of current location (e.g., company ID), with an electronic signature
-A copy of any valid ID of the authorized representative, clearly showing their full name and wet signature
C. For those located in Batangas:
-A duly signed authorization letter (with wet signature)
-A photocopy of a valid ID bearing a wet signature
-A copy of any valid ID of the authorized representative, clearly showing their full name and wet signature
NOTE: Please ensure that if a representative will be claiming on your behalf, the name of the authorized representative is clearly indicated in the authorization letter.
If your Student ID is no longer available or cannot be accessed through the portal, you may present a printed or photocopy of any valid ID that clearly shows your full name and signature. Kindly ensure that the ID includes three (3) signatures for verification purposes.
In cases where the claimantโs name is not included in the provided list, a copy of the official receipt may be submitted to [email protected] for verification. If the record is still not found, kindly allow us time for validation as the concerned claimant may be included in the second batch of the refund schedule.
