Cagayan State University conducted the E2E Systems Orientation and Beta Testing Activity for Campus Information Officers, Campus MIS Coordinators, and other concerned university personnel to present ongoing digital initiatives and gather user feedback.

The activity featured the new Campus Website Content Management System, including a hands-on beta testing session where participants evaluated its content management, approval, publishing, and website administration features. Updates and concerns related to the Online Faculty Evaluation System were also discussed, particularly faculty and student data validation, reporting, monitoring, and the submission of correction requests.

The CSU Helpdesk System was also introduced to provide a more organized process for submitting, monitoring, and resolving technical concerns and service requests across campuses and university offices.

The CSU Scheduling System was likewise introduced and demonstrated, highlighting classroom and faculty schedule management, schedule creation, conflict detection, and the visual scheduling board.

Comments, issues, and recommendations gathered during the E2E Systems Orientation and Beta Testing Activity will be used to further improve the systems before their wider implementation.

The Management Information System (MIS) Office proudly announces the successful implementation of the new and improved iVote v2, a web-based digital voting system developed by Mr. Kevin L. Cabauatan.

Launched on 𝗔𝗽𝗿𝗶𝗹 𝟭𝟲, 𝟮𝟬𝟮𝟲, the system was first utilized during the 𝗔𝗻𝗱𝗿𝗲𝘄𝘀 𝗖𝗮𝗺𝗽𝘂𝘀 𝗦𝘁𝘂𝗱𝗲𝗻𝘁 𝗖𝗼𝘂𝗻𝗰𝗶𝗹 𝗘𝗹𝗲𝗰𝘁𝗶𝗼𝗻 𝗳𝗼𝗿 𝗔𝗰𝗮𝗱𝗲𝗺𝗶𝗰 𝗬𝗲𝗮𝗿 𝟮𝟬𝟮𝟲–𝟮𝟬𝟮𝟳, providing a more efficient, secure, and user-friendly voting experience for students.

The enhanced system was also implemented on 𝗔𝗽𝗿𝗶𝗹 𝟮𝟭, 𝟮𝟬𝟮𝟲, to 𝘀𝗲𝗹𝗲𝗰𝘁 𝘁𝘄𝗼 (𝟮) 𝗣𝗿𝗶𝘃𝗮𝘁𝗲 𝗦𝗲𝗰𝘁𝗼𝗿 𝗥𝗲𝗽𝗿𝗲𝘀𝗲𝗻𝘁𝗮𝘁𝗶𝘃𝗲𝘀 (𝗣𝗦𝗥) 𝘁𝗼 𝘁𝗵𝗲 𝗖𝗦𝗨 𝗕𝗼𝗮𝗿𝗱 𝗼𝗳 𝗥𝗲𝗴𝗲𝗻𝘁𝘀, demonstrating its capability to support both campus-level and university-level electoral processes.

The improved iVote v2 features enhanced performance, a streamlined user interface, and strengthened security measures to ensure the integrity, confidentiality, and reliability of voting results. Its successful implementation shows CSU’s commitment to innovation and improving digital systems that support transparent, efficient governance.

The Management Information Systems (MIS) Office of Cagayan State University successfully conducted a 𝗨𝗻𝗶𝘃𝗲𝗿𝘀𝗶𝘁𝘆-𝗪𝗶𝗱𝗲 𝗢𝗿𝗶𝗲𝗻𝘁𝗮𝘁𝗶𝗼𝗻 𝗮𝗻𝗱 𝗧𝗿𝗮𝗶𝗻𝗶𝗻𝗴 𝗼𝗻 𝗖𝗦𝗨 𝗗𝗢𝗖𝗦 (𝗗𝗼𝗰𝘂𝗺𝗲𝗻𝘁 𝗢𝗿𝗴𝗮𝗻𝗶𝘇𝗮𝘁𝗶𝗼𝗻 𝗮𝗻𝗱 𝗖𝗼𝗹𝗹𝗮𝗯𝗼𝗿𝗮𝘁𝗶𝗼𝗻 𝗦𝘆𝘀𝘁𝗲𝗺) on April 8, 2026, marking another milestone in the university’s digital transformation initiatives.

CSU DOCS was introduced as a centralized and secure document management platform designed to address existing challenges in document handling across the university, such as fragmented storage, unstructured communication channels, slow document retrieval, and limited access control.

During the program, participants were oriented on how CSU DOCS streamlines document workflows from 𝗰𝗿𝗲𝗮𝘁𝗶𝗼𝗻, 𝘂𝗽𝗹𝗼𝗮𝗱𝗶𝗻𝗴, 𝗮𝗰𝗰𝗲𝘀𝘀 𝗰𝗼𝗻𝘁𝗿𝗼𝗹, 𝗱𝗶𝘀𝘁𝗿𝗶𝗯𝘂𝘁𝗶𝗼𝗻, 𝘂𝗽 𝘁𝗼 𝗶𝗻𝘀𝘁𝗶𝘁𝘂𝘁𝗶𝗼𝗻𝗮𝗹 𝗮𝗿𝗰𝗵𝗶𝘃𝗶𝗻𝗴, ensuring that official documents are systematically managed and easily retrievable across campuses.

A key highlight of the activity was the live system demonstration conducted by 𝗠𝗿. 𝗝𝗼𝗵𝗻 𝗢𝗺𝗮𝗿 𝗗. 𝗘𝘀𝗴𝘂𝗲𝗿𝗿𝗮, 𝗝𝘂𝗻𝗶𝗼𝗿 𝗣𝗿𝗼𝗴𝗿𝗮𝗺𝗺𝗲𝗿, who provided a comprehensive walkthrough of the platform. The demonstration covered essential features such as:

• Secure login using CSU email
• Document uploading with metadata and control numbers
• Configurable access levels (public, campus, office, custom, private)
• Advanced search and filtering capabilities
• User and records management
• Reports and analytics for monitoring document activities

The system also introduces defined user roles, including System Administrator, University Records Officer, Campus Records Officer, and general employees, ensuring proper governance and accountability in document handling across all CSU campuses.

With CSU DOCS, the university is expected to benefit from:

• Faster document access and retrieval
• Improved data security and governance
• Reduced reliance on email attachments and chat-based file sharing
• Enhanced cross-office collaboration
• Long-term preservation of institutional records

The successful conduct of this training reflects CSU’s commitment to leveraging technology to improve operational efficiency and strengthen records management practices across the university system.

The Management Information System (MIS) Office conducted a demonstration of the newly developed Queueing System, scheduled for official launch next week, and to be used initially for beta implementation at Andrews Campus. The activity served as a soft launch of the system and was carried out in coordination with the Registrar’s Office, which will be the primary pilot office for the rollout.

The demonstration was led by the MIS Team together with Mr. John Omar S. Esguerra, Lead Developer of the project. During the session, the team presented the system’s current features, demonstrated its proper usage, and discussed how the platform will improve transaction flow and service efficiency.

An exchange of feedback followed, allowing Registrar’s Office personnel to share observations and recommendations to further refine the system before its full deployment.

This beta implementation marks another step in CSU’s ongoing digital transformation initiatives, aimed at delivering efficient, streamlined, and technology-driven services across university campuses.
