Spring Break is scheduled for March 9-17, 2024. As a result, undergraduate residential facilities will close at 9:30 p.m. on Friday, March 8 and reopen at 10 a.m. on Sunday, March 17

Remaining on Campus During Spring Break
Students are able to remain in campus housing during this break period. However, students must submit a Spring Break Late Stay-Early Arrival Application on the housing portal.The application will be open February 12-March 3.

There is no charge to remain in campus housing during part or all of the break period. However, any student needing to remain in campus housing during part or all of the break period MUST submit an application! Students will receive an email confirmation from the Office of Housing and Residence Life letting them know they’ve been approved to remain in campus housing for part/all of the break period.

Any student found in their residence that has failed to complete the above application will be assessed a $75 improper checkout fee to their student account.

Residential locations will be inspected by the Office of Housing and Residence Life staff. Campus Safety and Security will be conducting rounds and periodic safety checks throughout the break period.

Checklist for Break Departure
Residents are responsible for completing the following items PRIOR to their departure:
-Clear out any perishable items in refrigerators.
-Empty all trash (this includes individual rooms and common areas)
-Ensure all windows are closed and locked.
-Close all window blinds.
-Ensure HVAC is set to cool, with the fan running.
-Turn off all lights.
-Ensure doors (room and/or exterior) are closed and locked prior to departure.

Dining
Meal plans will be suspended during the break period. Food service options may be limited or unavailable. Please see communication from Dining Services regarding services available during the break period.

WINTER BREAK CLOSING EXPECTATIONS FOR RESIDENTIAL STUDENTS

24-hour quiet hours will begin on Friday, December 8 at 7:00pm and continue through 9:30pm on Saturday, December 16. The final examination period is December 11-16. University staff will address those students that violate the 24-hour quiet hours expectation.

Students must vacate campus housing within 24 hours of their last exam or by 9:30pm on Saturday, December 16--whichever occurs first. Students are not permitted to stay in their housing assignment past 9:30pm on Saturday, December 16 unless prior approval is granted by Housing and Residence Life.

Housing and Residence Life staff will be conducting safety checks of all residential spaces. Students are responsible for completing the following items prior to their departure for the break:
*Unplug all electronics except for aquariums (please allow for ample fish food)
*Mini fridges or microfridges must be emptied, unplugged, and left open
*Dispose of any perishable items
*Empty all trash cans
*Ensure residence is generally clean
*Turn HVAC/thermostat on low (keep fans running)
*Close and lock all windows
*Pull blinds down and close them
*Turn lights off
*Close and lock all doors
*Students are encouraged to donate any unwanted, non-expired foods to the Food Pantry at Spiritual Life (500 Brevard Street)

For those students needing to remain in campus housing due to athletics or completion of an academic responsibility (i.e. student teaching or nursing clinicals), your professor or coach will need to submit a roster to the Office of Housing and Residence Life by December 9. Those students will be approved to remain in campus housing at no charge and will NOT need to complete a late stay application!

Students looking to remain on campus after 9:30pm on Saturday, December 16 that are not part of an academic or athletic group must complete an application:

Students who need a SHORT TERM late stay (9:30pm Saturday, December 16 - 5:00pm Monday, December 18) can complete a Short Term Late Stay application through the Housing Portal. There will be a $35 fee charged to the student account if approved for a short term late stay.

Students who need a LONG TERM stay (at any point from December 16 - January 19) can complete a Long Term Late Stay application through the Housing Portal. There will be a rate of $70/week for these students, charged to the student account if approved for a long term stay. Only students with extenuating circumstances will be approved to remain on campus.

NOTE: International students may remain on campus during part or all of Winter Break at no charge. However, these students must complete an application through the Housing Portal.

The application deadline is Sunday, December 10 at 11:59pm!

Students submitting an application to remain in campus housing after this date are seeking an exception. Students should only complete the application for JTerm courses and/or truly extenuating circumstances. The long term late stays will be for weeks/weekly rates. Students WILL NOT be permitted to apply to return to campus housing for stays of one or two days during the Winter Break. Students that may need to remain in the Lynchburg area for a brief period of time during the break should consider alternate housing options, including hotels.

Meal plans will not be offered during Winter Break. Dining options will be communicated.

Students not approved for a late stay that are found in campus housing upon completing closing walkthroughs on December 17 will be assessed a $75 improper checkout fee to their student account.

If a student is NOT returning to the University of Lynchburg (or is not going to be a residential student) for the Spring 2024 semester, the student will need to complete the following:

*All personal belongings must be moved out of the room prior to departing campus, or by no later than 9:30pm on December 16.
*Key(s) MUST be turned into Campus Safety and Security (Hall Campus Center, 1st floor) to avoid fines. Keys not received upon departure will result in a $150.00 charge per key assigned to the student’s account.

The Office of Housing and Residence Life will NOT store belongings for students not returning/moving off campus beyond the date our residential facilities close.

It's time for students to move in! Here's some important details:

Students must log into the Arrival Checklist to ensure that all tasks have been cleared prior to their move-in date. Students with outstanding tasks will be asked to complete those tasks before receiving their residential keys.

Move-In Day Process
All students should arrive through the main entrance of campus (off of Lakeside Drive) during their selected/assigned move-in day and time frame on the August 17-20 move-in dates. Directional signage will be placed around campus to assist students and their families. Please refer to the campus map for assistance: https://www.lynchburg.edu/wp-content/uploads/travel-and-maps/campus-map-10-28-2022-rev2.pdf.

Staff will verify the arrival date and time of the student and ask the student to verify their arrival checklist is complete. Students with completed checklists will then be directed to their key pick-up location. Students with incomplete checklists will be asked to address outstanding items before receiving their residential keys.

For first year students moving into Montgomery and Tate Halls on August 17 and 18, there will be volunteers on site to assist with moving in items into your residential space. Please note that there are no move-in volunteers for returning students.

There are no restrictions regarding the number of helpers students can bring with them to move-in. There are also no limitations on the time helpers can stay on campus.

Students and their helpers should plan to unload their vehicles quickly and then move their vehicles so that others can pull up to unload.

Late Arrivals
Students running late that may need to arrive on campus after the close of check in on each of the move-in dates should contact the Office of Housing and Residence Life at 434.544.8320 so that their key can be pulled and placed at Campus Safety and Security for pick-up.

Students arriving after August 20 will have their keys placed at Campus Safety and Security for pick-up.

University-issued furniture may not be removed from residential spaces. Even if a student brings their own furniture, the University furniture is to remain in the space. Please do not ask staff to remove University furniture.

Loft kits will be available for pick up in or near your assigned residence. These are free and do not require sign-up in advance. Your Community Assistant and/or move-in volunteers can assist you to locate the closest loft kit pick-up location.

Only approved emotional support animals or service animals are permitted inside of campus residences at any time.

All students are required to complete the Arrival Checklist, which can be found at arrival.lynchburg.edu.

This easy to follow checklist allows for students to ensure their health forms, payment arrangements, financial aid, etc. are in order before their return. Students may also update their emergency contact information and register their vehicle. If there are questions about specific tasks on the checklist, please contact the appropriate office listed.

Residential students must complete their checklist before being permitted to receive their residential keys at move-in. Students will be asked to show a completed arrival checklist upon their arrival to campus on their move in day. Students with outstanding tasks will be asked to complete those tasks before receiving their residential keys.
