Villanova University Office of Conference Services seeks a highly organized, energetic, and experienced conferences and events professional for the position of Assistant Director Conference Reservations.
The Assistant Director is responsible for marketing, coordinating, and providing housing and dining accommodations in conjunction with the Director by soliciting meeting details from clients, data entry and managing the database of guest group information. This leads to specific reservations of dining services, campus housing assignments (including building access privileges and room door combos), classrooms, meeting rooms, event space, athletic facilities, etc.
The Assistant Director will manage campus guest housing assignments, dining hall meal time assignments, event catering details, campus-wide facilities access privileges, hospitality-desk guest services, and service desk student staff leading up to and throughout the summer season and according to each guest organization’s specific needs. This position is responsible for assimilating and providing the related data required to create an accurate billing statement for each guest and/or organization.
The Assistant Director solely manages the college summer student intern guest housing program, and oversees the design, content, and maintenance of the Conference Services website. This includes its capability to accept online housing registrations from specific guest groups. This position serves as the office liaison to university IT (UNIT) for all guest meeting-related technologies as well as departmental matters and solutions.
This position includes an intense mid-May to mid-August cycle and requires the ability to adjust to a non-traditional work schedule and the ability to go the extra mile to meet guest accommodation needs. This includes the need to work some weekends, holidays and often after-hours during the summer conference season.
