Greetings,

It’s hard to believe, but we’re about 30 days away from closing out the Spring 2025 semester! With the semester ending rapidly, we ask that you please review the following information carefully and share it with your friends/family/anyone who may be assisting you with moving out. If you have not made your travel plans yet, now is the time to make them. We wish everyone the best during the last week of classes and during final exams!
24-HOUR QUIET HOURS:
All halls will fall under 24-Hour Quiet Hours on Wednesday, May 7th at 8:00am. This means that students must keep all noise within their room. This is to ensure that the halls provide a quiet place for students to prepare for final exam week in. Violating 24-hour quiet hours will result in written warnings without a verbal warning, and/or being removed from housing regardless of the violator’s final exam schedule.

WHEN DO RESIDENCE HALLS CLOSE:
Residence halls will be closed promptly at 6:00pm on Friday, May 16th. Residents much be moved and checked out of their housing assignment within 24-hours of their last exam, or before May 16th at 6:00pm – whichever occurs first. This means that students who are not approved to stay later must be moved out, checked out by a staff member, have their keys turned in and be on their way to enjoy their summer break before May 16th at 6:00pm. This date will arrive faster than you may think, and it’s suggested that you make your move out and travel plans now.

WHEN DO I NEED TO CHECK OUT:
Students must be moved out and checked out of their housing assignment within 24 hours of their last final exam, or by May 16th at 6:00pm – whichever occurs first.

GRADUATING SENIORS:
Seniors who are participating in the Commencement Ceremony on Tuesday, May 20th are permitted to stay on campus until Wednesday, May 21st at 12:00pm ONLY if they are on the approved graduation list from the Registrar’s office AND if they complete the Summer Housing Application found in the MyHousing Portal; applications are due by May 1st at 11:59pm.

LATE MOVE OUT HOUSING:
If you are a non-graduating senior who needs a late move out, please submit your request using the Summer Housing Application found in the MyHousing Portal. An approved application will extend your move out deadline until Sunday, May 18th at 6:00pm. Applications for late move out are due by May 1st at 11:59pm.

SUMMER HOUSING:
If you need housing over the summer, please submit your Summer Housing Application found in the MyHousing Portal. If you are not leaving campus (ie. staying on campus immediately after the spring semester into the summer semester), your application is due by May 1st at 11:59pm. If you are leaving campus and then returning to campus for summer housing, your application is due at least 3 business days prior to your arrival. Summer housing will be in Nutmeg Hall and will cost $364 per week. A reduced rate is offered to students who work on campus or are registered for a summer session class; reduced rates are only applied during the dates of your employment or when your class is actively in session. You must have no holds on your account AND be registered for Fall 2025 classes to be eligible for summer housing.

SUMMER BREAK CHECK OUT PROCESS:
Please review and follow these steps carefully in order to avoid any improper check out billing, damage billing, or other issues.

1.) Make a move out plan with your parents/guardians/any other folx helping you move.
a. You must move/check out of your housing assignment within 24-hours of your last final exam or by the hall closing date/time. Whichever occurs first.
b. The Spring 2025 Final exam Schedule can be found HERE. All residence halls CLOSE on Friday, May 16th at 6:00pm. Your FOB will turn off at that time.
2.) Schedule a Check Out Appointment with an RA in your residence hall.
a. Your residence hall staff will announce when you can start reserving appointments and how.

BEFORE YOUR CHECK OUT APPOINTMENT:
3.) Clean your housing assignment.
a. One-Room Housing Assignments: Sweep and mop floors, empty all drawers/closets, wipe down surfaces, remove all trash and recycling.
b. Suites and Apartments: Everyone living in the housing assignment is responsible for the condition the space is left in regardless of who leaves first. It is encouraged that the suite/apartment be cleaned before anyone moves out and then maintained as each roommate leaves. This is to avoid leaving a mess for the last person moving out.
i. Kitchen: Clean out the refrigerator, cabinets, oven, and pantry completely by removing all contents and wipe clean the interiors, sweep and mop the floor.
ii. Commode: Remove all personal belongings, clean the toilet, sweep and mop the floor.
iii. Shower Room: Remove all personal belongings (including the shower curtain), clean shower stall, sweep and mop the floor.
iv. Living Room: Remove all personal belongings, clean end tables and coffee tables, sweep/mop tile floor or vacuum carpeted floor
v. Bedroom: Remove all personal belongings, empty all drawers/closets, wipe down surfaces, sweep/mop tile floor or vacuum carpeted floor, remove all trash and recycling.
c. All Housing Assignments: Failure to clean properly will result in an Excessive Cleaning Fee of at least $25.
4.) Pack and remove all personal belongings from your housing assignment.
a. Don’t forget to check all cabinets, closets, drawers, under/behind furniture etc.
b. There is no on-campus storage of personal belongings. Items left behind are removed by staff to be thrown away or donated, and nothing is kept to be picked up at a later time.
c. Residents will be charged $25 per item left behind and removed by staff.
5.) Take all trash and recycling out to the dumpsters.
a. Do not leave any trash in any stairwell, lounge, laundry room, community bathroom, hallway, elevator, lobby, sidewalk, outdoor trashcan or anywhere else but the dumpster. Leave trash anywhere else but the dumpster will trigger building-wide damage billing that cannot be appealed. Make the effort, bring the trash/recycling out to the dumpster.
b. Trash left for staff to remove will result in a $25 damage bill per bag removed.
6.) Close and lock your windows, leave the blinds wide open.

AT YOUR CHECK OUT APPOINTMENT:
7.) Meet with the RA you’ve scheduled an appointment with.
If you’ve signed up for a check out appointment, please manage your check out tasks and your time to keep your appointment. If you are late for your appointment or miss your appointment all together, you will need to schedule a new one for when the RA is available.
8.) The RA will inspect your room to make sure you have removed your belongings and trash before you leave.
a. You will need to be present for this part so that if you have anything you need to resolve before you leave you may.
b. The RA is not responsible for opening drawers, cabinets, or closets or for “finding” anything you’ve forgotten to do. They are there to do a quick scan of the space to make sure there isn’t anything obvious.
c. The RA is not responsible for clearing you from the possibility of any damage billing. Even if an RA tells you “you’re good to go” or anything of the same sentiment, it does not guarantee you won’t be billed for damages later found by the Hall Director.
9.) Return you housing keys.
a. During your check out, your housing keys or housing fob will be collected.
i. Lost keys or keys not returned during check out will be billed for over the summer.
b. Do NOT turn in your main fob – keep this to be reprogrammed for your housing assignment next year.

DAMAGE BILLING:
Damage billing is NOT determined by any student staff member including Resident Assistants. Even if an RA says “you’re good to go” or anything of a similar sentiment during check out, it does NOT mean that damage billing is not a possibility. Damage billing is determined after all students have moved out and after the Professional Staff Member (ie. a Hall Director) inspects the completely vacant space and each item within it. If the condition of an item is considerably worse from when the student moved in (beyond normal wear and tear) the student is subject to damage billing to restore the damage done. All residential students can view their Room Condition Reports in the MyHousing Portal and any issues or changes to the condition of an item will be noted on their Move Out Room Condition Report (done by the RA checking them out) and their Hall Director Inspection (done by the Professional Staff member, after everyone has moved out.

After damage billing has been processed, the affected students will receive notification via Eastern email. Students will be able to appeal bedroom/individual room damages within 15 days of the damage bill being sent to the student. Common area damages cannot be appealed.

Common damage billing issues include but are not limited to:
Improper Check Out
You moved out without checking out with an RA OR you did not complete your move out before all fobs turn off for closing. $25
Key Replacement
You did not turn in your key before checking out, and a new key had to be ordered. Billing for this will occur even if you mail in your key afterwards. At least $100 to replace the lock and update the keys needed for next occupant(s).
Trash or Recycling Removal
Whether trash is left in a common/shared area or an individual’s room, if staff have to remove it, a charge will be the result. $25 per bag
Personal Item Removal
Any personal item left behind will be either thrown away or donated. There is no personal item storage on campus. $25 per item
Excessive Cleaning Fee
Housekeeping will be turning over each space, but if it’s obvious that the space was not taken care of over the past year, a charge will be the result. At least $25
Paint/Wall Damage
Typically caused by prohibited Command Strip, LED Strip Lights, or any other adhesive the student used on the walls. At least $75
Other damage billing issues or amounts may be applied as necessary.

Good Morning,
I hope you are looking forward to the upcoming break and will find some time to relax, recharge and enjoy the week.

Associate Director, Blaine Fisher, has sent the initial email about the housing selection process and I wanted to take a few minutes to follow up regarding the areas that will impact your eligibility for housing selection.

First and foremost, any student wishing to live on campus next year is required to complete a fall 2024 housing application and pay the non-refundable $250 housing deposit by the March 31, 2024 deadline. Submitting the application and deposit does not mean that you are eligible for the process, but that you are interested in living on campus next year. If you do not fall into one of these categories below, you should have no problems participating in the process if you meet the March 31st deadlines for the application and deposit.

• Bursar Hold: Students with a Bursar Hold (meaning they owe the university more than $500) as of April 1st are not eligible to participate in housing selection.
• Student Conduct Hold: Students with a Conduct Hold (meaning they have not completed assigned sanctions by a deadline prior to April 1st, have an outstanding meeting request, etc.) are not eligible to participate in housing selection.
• Not Registered: Students who are not registered (for a minimum of 12 credits) for the fall semester by April 19th are not eligible to participate in housing selection. If you are a part of a matched roommate group on April 19th and are not registered, you will be removed from the process. All students will have had the opportunity to register prior to receiving their assigned pick time on April 19th (as registration for first-year students begins April 15th).

If you do fall into one of the categories listed above and eventually take care of the concern, you must email Blaine at [email protected] and you will be assigned to housing after the process ends, or if we are able to add you to the process (prior to April 19th), it may be at the bottom of the list of eligible students.

Please remember, when paying your non-refundable $250 housing deposit that scholarships, financial aid, grants, etc. cannot be used to pay the deposit. If paying online, please ensure you make the payment as a deposit and not as a payment to your account.

Spring Break 2024
Spring break is 17 days away! It is important that students start planning their travel arrangements for when the residence halls close. Please review the information below carefully and please follow the instructions provided. Thank you!

Residence Halls Closing For Spring Break:
All first-year residence halls and Niejadlik Hall will be closing at 6:00pm on Friday, March 8th. It is strongly suggested that students living in these areas start making their travel plans to ensure they meet this deadline. All fob access will be turned off until these residence halls reopen at 10:00am on Sunday, March 17th.
Before leaving for spring break, students are required to complete the following:
• Take all valuables with you that you are not comfortable leaving. The University is not responsible for loss or theft of items left during break periods.
• Remove all trash and recycling from your room/suite/apartment and dispose of in the proper dumpsters/bins outside of your residence halls. Trash or recycling removed by staff will result in a $25 per bag fee applied to the students living in the housing assignment.
• Remove all open or perishable foods from your housing assignment.
• Unplug all electronics (except refrigerators – miniature or university provided)
• Close and lock all windows and doors
• Turn off all lights in your housing assignment

Resident Assistants and Hall Directors will be inspecting all rooms/suites/apartments when the halls close at 6:00pm on March 8th to ensure that the above expectations are met. Violations will be documented, and prohibited items will be confiscated.

Spring Break Housing Requests:
All upper-level student residence halls will be open during the spring break, however any student in these halls who need to stay on campus during the spring break are required to complete the Spring Break Housing Application, found in the MyHousing Portal. All Spring Break Housing Applications are DUE no later than Wednesday, March 6th at 4:00pm.
In-season athletes: Please complete a Spring Break Housing Application to ensure that we know of your break housing needs.

To apply for Spring Break Housing, please follow these steps:
Access the MyHousing Portal:
1.) Login to your Eastern Apps using either Google Chrome or Mozilla FireFox as your internet browser (Safari and Internet Explorer will not work for this process)
2.) While in Eastern Apps, click the App Launcher icon in the top left of the screen (this looks like 9 small square dots)
3.) Click the blue All apps link
4.) Carefully look for the MyHousing Portal next to an icon of a black house

Submit Your Application:
1.) When you have logged into the MyHousing Portal, click Applications in your navigation panel, on the left side of the screen (if you do not see this option, click the three lines at the top of the screen to open the navigation panel).
2.) Select the Spring Break Housing Application
3.) Carefully review the expectations for spring break housing, and leave a signature when you understand the terms and policies
4.) Complete your application with contact and preference information
5.) When your application is complete, you will receive a confirmation message

If you live in an upper-level student residence hall, and you are leaving for the spring break, you will need to complete the following prior to you leaving:

Good afternoon, again, Warriors!

With the recent changes in the winter weather forecast on our scheduled reopening day of January 16th at 10:00am, your Housing Team is working behind-the-scenes to ensure everyone returns to campus safely. While it is still too early to make a final announcement, we will be notifying all students of a final decision to change or keep the move-in day schedule in an email that will be sent on Sunday, January 14th at about 2:00pm.
As of today, there are no changes to the Spring 2024 reopening schedule. Residence halls are still scheduled to open on Tuesday, January 16th at 10:00am.
We appreciate your patience and understanding that weather forecasts can drastically change as we approach a storm’s arrival and that we’ll be using the best information available to us on Sunday to make a final decision and announcement for the Spring 2024 move-in.
